After the Semester Ends

Blackboard courses are kept on the Blackboard server for one year after teaching them.  After that year they are whisked away and buried in Blackboard’s Archives.  To resurrect them from that black hole is an arduous undertaking, consuming substantial resources both locally and centrally; it also requires a good amount of patience on the part of the one who will need to make the resurrection-request, that is: you. So, instead…

To continue having virtually instant access to all course materials and assignment set ups (excluding student work or grades), we recommend that you export your course.  To keep a record of your students’ grades and course work, we suggest you download the grade center and assignments to your York College network drive.  Below are our instructions. 

Exporting your course for reusing in a future course

(Strongly recommended) Exporting the course and downloading it to your local computer

In the “"Course Management"” section, your “kitchen area,” open the “Packages and Utilities” tab. Then click “Export/Archive Course.” Click the “Export Package” option. On the next page, scroll down to the “Select Course Materials” section and click “Select All.” Note: while usually a question of minutes and a simple click on the refresh button on the “Export/Archive Course” page, in rare cases it may take up to an hour for you to see a very looooooong exported course link on the “Export/Archive Course” page and to receive an email notification to that effect. 

On the “Export/Archive Course” page, download your exported course by clicking on the link and saving the file to your computer. To easily retrieve the file in the future, keep the name and save it in a folder you name “Exported Blackboard Courses.” Lastly, return to the “Export/Archive Course” page, click on the hidden action button next to the exported file name and select “Delete.” Done! 

Useful for easy future access: Downloading the Grade Center and saving it as a spreadsheet on your York College network drive (Think of FERPA!)

In the ""Course Management"" section of your course page, the kitchen, go to the Grade Center. Then click the Full Grade Center. On the right of the action bar, click “Work Offline” then Download. Leave every setting as is and click Submit. On the “Download Grades” screen, click the Download button, and save the file to your York College network drive. To access your York College network drive off-campus, log in to York College VPN.

In the "Course Management" section of your course page, the kitchen, click on Course Tools, then on TurnitIn Assignments to open the page where all assignments are listed. Click on one assignment to open it, select all and in the yellow action bar that pops up, open the Download drop down and select an option. Follow on screen instructions and save it to your York College network drive. To access your York College network drive off-campus, log in to York College VPN.

In the "Course Management" section of your course page, the kitchen, go to the Grade Center. Then click the Full Grade Center. Click on the hidden action button next to an assignment column name and select “Assignment File Download,” select all, click on Submit, follow the on screen instructions and save the file to your York College network drive. To access your York College network drive off-campus, log in to York College VPN.
